Project collaboration is a beta feature and is rolling out gradually. If you do not see sharing-with-people options yet, they may not be enabled on your account.
Collaboration lets you bring teammates into a project so you can build and review a canvas together, beyond a read-only public link.

Invite collaborators

1

Open the share dialog

From a project you own, open the share options.
2

Invite by email or link

Invite people by email address, or copy a collaborator invite link to send yourself.
3

Choose a role

Assign each collaborator a role: editor or viewer.

Roles

RoleCan do
EditorView and change the canvas: capture, edit screens, comment, and annotate.
ViewerView the canvas and, depending on settings, leave comments.

Accepting an invite

When someone receives a collaborator invite link, opening it brings them into the project after they sign in. Shared projects appear in a dedicated shared projects area in the app, separate from projects they own.

Staying in sync

If another collaborator changes the canvas while you have it open, BenchCanvas shows a banner so you know the canvas is out of date. Refresh to pick up their changes.

Public sharing vs collaboration

  • Use a public share link for read-only access without an account, for example for stakeholders.
  • Use collaboration when teammates need to edit or actively work in the project.

Plans

Real-time collaboration, shared workspaces, and roles are part of the Team plan roadmap.
